Booking, Payment & Cancellation Terms

These terms explain how booking, payment and cancellation work, so everything is clear before a guest travels. By paying a deposit or any other payment to Serengeti Wildway, the guest agrees to these terms.

01How to book

  • The guest sends travel dates, group size and preferences. We prepare a written quotation and itinerary.
  • A booking is confirmed only when we receive the deposit. Until then, availability is not guaranteed.
  • Lodges, camps and services are reserved only after the deposit is received, so we recommend booking early, especially in peak season (July to October and January to March).

02Payment schedule

Accepted payment methods: bank transfer and bank card. Any other method we can accept is stated on your invoice. Prices are in USD unless the quotation says otherwise, and bank, card and currency-exchange fees are paid by the guest.

  • If the balance is not paid on time, we may treat the booking as cancelled and the charges in section 5 apply.
  • Each invoice shows the deposit, the balance, the due dates, the currency and the cancellation terms. Please keep all receipts.

03What the price includes and excludes

Usually included

  • Accommodation and meals as listed in the itinerary
  • Safari vehicle (4x4 Land Cruiser) and a professional driver-guide
  • Park fees and government taxes, where listed in the quotation

Usually not included

  • International and domestic flights
  • Travel insurance and visa fees
  • Personal expenses: extra drinks, tips, souvenirs
  • Optional activities not in the itinerary, for example balloon flights

Your written quotation is always the final list for your own trip.

04Price changes

Prices are based on the rates at the time of the quotation. Once full payment is received, the price is fixed. Before that, a price may change if costs outside our control change, such as new government fees or taxes, park fee increases, or changes by lodges and suppliers. If this happens, we tell the guest in writing and explain the reason before they pay.

05Cancellation and refunds

Cancellations must be sent to us in writing, by email or confirmed WhatsApp message. The date we receive the message is the cancellation date.

Why charges grow over time: we pay lodges, camps and parks in advance, and these suppliers often do not refund us. If we cancel a trip for safety reasons or other unexpected problems, the guest gets a full refund or the option to move to new dates.

06Changes to a booking

  • Changes must be requested in writing. We try to accommodate them, but they depend on availability.
  • Extra costs may apply, for example a lodge change fee or higher prices on new dates.
  • We may adjust routes, lodges or schedules because of weather, road conditions or wildlife movement, while keeping the quality of the trip.

07Events beyond our control

Neither the guest nor Serengeti Wildway is responsible for a delay or failure caused by events nobody could reasonably control, such as:

  • Natural disasters (floods, earthquakes) or extreme weather
  • Government restrictions, border or park closures, or new laws
  • Health emergencies or pandemics
  • Strikes, political unrest or transport disruptions

In these cases we make reasonable efforts to offer another date or a similar alternative. Refunds depend on what we have already paid to suppliers that cannot be recovered.

08Travel insurance

Travel insurance is required. It should cover medical costs, accidents, evacuation, lost belongings and trip cancellation. Serengeti Wildway is not responsible for costs caused by missing or insufficient insurance.

09Health, safety and travel documents

  • Guests must be fit to travel and tell us about any medical condition or special need before the trip.
  • Guests follow the guide's instructions and all park rules, and keep a safe distance from wildlife.
  • Guests are responsible for a valid passport, visa and any required vaccination certificates. Trips affected by missing or invalid documents are not refundable.

10Our responsibility

We carefully select and manage our partners, such as lodges, camps and activity providers. Because some services are delivered by these third parties, we are not liable for injury, loss or delay caused by them or by events beyond our control. Safari and adventure travel carry natural risks, and guests join activities at their own risk.

11Guest conduct

We ask all guests to respect local cultures, wildlife, staff and fellow travellers. We may end services without a refund if a guest's behaviour is harmful or unsafe.

12Complaints and feedback

  • If something is wrong during the trip, tell the guide or call us straight away, so we can fix it while you are still travelling.
  • If it is not solved, send a written complaint within 14 days after the trip. We reply within 7 working days.
  • We welcome feedback after the trip. It helps us improve.
